How do I use the closeout utility to regenerate a closeout file?

closeout file utility

The closeout utility is an essential tool that allows you to recreate closeout files from specific past dates and times, as well as for designated facilities, RIH, or vehicles. It is important to note that when you click the Force Closeout button, all transactions that have occurred since the last closeout will be finalized, including any transactions from today. These transactions can either be processed immediately, or you can choose to make them available for the next closeout cycle.

Closeout Utility
This utility is in the System Utilities section.

Select Closeout Information
To begin, click on the date to choose your starting date, then specify the corresponding start time. Following that, select the ending date and set the end time accordingly.
Select Information to Recover
Choose the type of file you wish to recover. Your options include: Primary Closeout, Secondary Closeout, or both Primary and Secondary; TLS Data; Data Recorder Messages; and All Data Types. Typically, the Primary Closeout is the most frequently selected option.
Select Filter
Next, choose the RIH, Facility, and/or Vehicle(s) from which you wish to recover data. If you prefer to retrieve all data across all facilities and service lanes within the specified timeframe, simply leave the filters unchecked.
Actions
Please be aware that any transactions that have not been closed out previously, including those currently logged in the transaction log, will be included in the file if you choose to force a closeout using this utility. After retrieving the desired data, you have the option to mark today's transactions as needing closeout again. To do this, return to the utility, select today's start date and tomorrow's end date, ensure that both file types are selected, choose "Mark as Needing Closeout," and click "Apply Settings." Finally, select "Preview Affected Transactions" to review today's transactions, which will then be ready for closeout once more. The most common action to take will be “Mark as Needing Closeout”.  Use this function to recover the transactions from the selected dates.

Another option is “Mark as Already Closed Out”.  Use this option to closeout transactions during a certain time frame.  For example, on a Friday you want to run produce a closeout file for the previous Monday at 4 a.m. through Tuesday at 4 a.m. but not the data from Tuesday a 4:01 a.m. to the present.

The final options are Mark as Not Replicated and Mark as Replicated.  These functions are used to replicate data to other Fleetwatch System Controllers on your network.  These two options are rarely needed.

Apply
Now select the Apply button to set the utility in action, or close the utility to abort the process.
Force Closeout
If you have chosen “Mark as Needing Closeout”, Force a Closeout to recover the transactions.  Please note: all transactions that have not been previously closed out, for example, all transactions currently in the transaction log, will be in the file if a closeout file is forced using this utility. The file will be available in the directory that the system normally writes to. One option is to mark those as needing closeout again after you’ve recovered the data you wanted. Go back to the utility, select today’s start date and tomorrow’s end date, select Applies to Both file types, Select Mark as Needing Closeout, and Apply Settings. Select the Preview Affected Transactions and today’s transactions will be ready for closeout again.
